SARIA Consultancy Plc, a leading company in Recruitment and Payroll Management, is seeking energetic and dynamic Assistant Project Administrators to provide essential administrative support to our project management team. This role is critical in ensuring smooth project operations from start to finish. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Key responsibilities include assisting with scheduling, documentation, reporting, and communication, while playing a pivotal role in ensuring the efficient and effective execution of all project aspects.
Duties and Responsibilities
- Provide administrative assistance to project managers and project teams, including scheduling meetings, preparing agendas, and taking minutes;
- Maintain and update project documentation, including contracts, change orders, permits, and other related paperwork;
- Assist in tracking project progress, timelines, and budgets to ensure projects stay on schedule and within scope;
- Act as a liaison between project stakeholders, including clients, vendors, and internal teams, ensuring clear and timely communication;
- Coordinate project meetings and ensure that all parties are informed of relevant updates and changes;
- Assist in the preparation and distribution of project reports, including status updates, timelines, and financial summaries;
- Ensure that all project-related documents are properly organized, stored, and accessible for team members;
- Assist in preparing project proposals, presentations, and other documentation as needed;
- Manage and track project deliverables, ensuring that deadlines are met;
- Assist in coordinating project timelines, milestones, and deadlines, ensuring all tasks are completed on schedule;
- Help manage project resources, including staff assignments, equipment, and materials, ensuring optimal use of resources;
- Assist in tracking project expenses, ensuring that they are in line with the budget;
- Help prepare cost reports and assist in managing purchase orders, invoices, and payments.
- Ensure that all project activities comply with company policies, procedures, and relevant regulations;
- Assist in maintaining quality control standards and support the project manager in ensuring that the final deliverables meet client expectations;
- Hanel other project related activities as assigned by the immediate manager.
Requirements
Academic qualification
- Diploma/Degree in Human Resources, Management or related fields
Additional qualifications
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines;
- Excellent verbal and written communication skills;
- Attention to detail and a high level of accuracy in administrative tasks and documentation;
- Ability to work effectively both independently and as part of a team;
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook);
- Ability to handle confidential information with discretion.
