We are looking for a highly organized Documentation Officer to oversee all aspects of documentation related to international shipments. The ideal candidate will be responsible for preparing, verifying, and processing all documents required for importing and exporting goods in compliance with international trade laws and regulations. This role requires close coordination with freight forwarders, customs brokers, suppliers, and internal departments to ensure timely and accurate movement of goods across borders.
Duties and Responsibilities
- Prepare, compile, and manage shipping and customs documentation including invoices, packing lists, bills of lading, certificates of origin, shipping instructions;
- Ensure all documentation complies with relevant import/export laws, regulations, and customer requirements;
- Liaise with freight forwarders, customs brokers, and shipping lines for timely cargo clearance and delivery;
- Submit and track customs declarations and clearances;
- Maintain up-to-date knowledge of international trade regulations, Incoterms, and customs procedures;
- Monitor shipment progress and proactively resolve delays or documentation discrepancies;
- Verify product classifications, country of origin declarations, and licensing requirements;
- Maintain accurate and complete records of all import/export transactions for audit and compliance purposes;
- Coordinate with procurement, warehousing, and finance teams to streamline shipping workflows;
- Assist in managing trade compliance audits, certifications, and licenses where applicable;
- Generate shipping schedules, cost estimates, and performance reports as required.
- Handle other tasks related to import and export documentation.
Skills & Abilities
- Strong knowledge of international trade procedures, customs regulations, & shipping documentation;
- Proficient in MS Office Suite and familiar with ERP/logistics software;
- Excellent organizational skills and attention to detail;
- Strong communication skills to interact with internal teams, vendors, and government agencies;
- Ability to work under pressure and meet strict deadlines;
- Familiarity with electronic customs clearance platforms is a plus.
Academic qualification
- Bachelor’s degree in Logistics, Supply Chain, International Trade, Business Administration, or a related field.
Years of experience: Minimum of 4+ years of experience in a comparable position;
