We are hiring for an experienced Senior Office Administrator, who is responsible for overseeing the smooth functioning of all administrative operations within the organization. This role involves managing daily office activities, supervising administrative staff, ensuring efficient workflow, and providing high-level support to management. The ideal candidate will be proactive, highly organized, and capable of handling multiple tasks with precision and professionalism.
Duties and Responsibilities
- Oversee and coordinate the day-to-day administrative functions of the office to ensure operational efficiency;
- Develop and implement office procedures and policies to enhance productivity and workflow;
- Maintain accurate and up-to-date filing systems, both electronic and paper-based;
- Supervise and provide guidance to junior administrative and support staff;
- Allocate tasks and monitor performance, providing feedback and training as required;
- Foster a positive and professional office environment;
- Manage procurement and inventory of office supplies, ensuring adequate stock and cost control;
- Coordinate maintenance and repair of office equipment and facilities;
- Liaise with vendors, service providers, and contractors to ensure service quality and timely delivery;
- Provide high-level administrative support to senior management including scheduling, correspondence, and document preparation;
- Organize internal and external meetings, take minutes, and follow up on action points;
- Assist in the preparation of reports, presentations, and policy documents;
- Serve as the primary point of contact for internal and external stakeholders on administrative matters;
- Ensure timely and professional communication within the organization;
- Ensure compliance with internal administrative policies and data protection standards;
- Maintain accurate records related to office assets, contracts, and vendor agreements;
- Support internal audits and implement corrective actions where necessary.
Academic qualification
- Bachelor's degree in Business Administration, Office Management, or a related field.
Skills & Abilities
- Exceptional organizational and time-management skills;
- Strong written and verbal communication abilities;
- Leadership and team supervision capabilities;
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and general office systems;
- Discretion in handling confidential information;
- Ability to multitask and adapt to changing priorities in a dynamic environment.
Years of experience: Minimum of 6 years of progressively responsible experience in office administration, with at least 2 years in a senior role.
