Job Summary:

The Warehouse and Distribution Officer is responsible for overseeing the efficient receipt, storage, and dispatch of goods. This role ensures that the right products are delivered to the right location on time, in good condition, and in the most cost-efficient manner. The position plays a key role in managing inventory, optimizing warehouse space, and coordinating with suppliers, transport companies, and internal teams.

Duties and Responsibilities

  • Oversee all day-to-day activities in the warehouse, including receiving, inspecting, and storing incoming materials;
  • Verify incoming shipments against purchase orders, delivery notes, or invoices to ensure accuracy;
  • Maintain a well-organized and clean warehouse layout to optimize space and workflow;
  • Implement and monitor proper storage practices, ensuring products are stored safely;
  • Carry out regular cycle counts and annual stock-taking exercises to ensure physical stock matches system records;
  • Ensure warehouse equipment such as forklifts, pallets, and scanners are properly used and maintained;
  • Plan, schedule, and coordinate outbound deliveries with internal teams, customers, and third-party logistics providers;
  • Prepare accurate dispatch documentation, including delivery notes, invoices, and transport manifests;
  • Track shipments to ensure timely deliveries and communicate proactively with recipients regarding any delays or issues;
  • Optimize transportation costs by selecting the most efficient routing and delivery methods;
  • Maintain complete and up-to-date records of stock movements, deliveries, and returns;
  • Generate regular inventory and distribution reports for management decision-making;
  • Ensure proper filing and storage of all warehouse-related documentation for easy retrieval and compliance audits;
  • Enforce adherence to company policies, standard operating procedures (SOPs), and health & safety guidelines;
  • Ensure that all hazardous materials are handled, labeled, and stored in accordance with relevant regulations;
  • Provide guidance and direction to warehouse assistants, loaders, and drivers to ensure smooth warehouse operations.

Requirements

Academic qualification 

  • Degree in Logistics, Supply Chain Management, Business Administration, or related field

Additional qualifications 

  • Proficiency in inventory management systems (e.g., ERP, WMS);
  • Good knowledge of logistics and distribution processes;
  • Strong organizational and time-management skills;
  • Excellent attention to detail and accuracy;
  • Good communication and interpersonal skills;
  • Problem-solving and analytical skills;
  • Ability to work independently and in a team

Years of experience: 

  • 4+ years of experience in similar assignments is advantageous
