We are seeking a detail-oriented and proactive Tender Specialist to manage the end-to-end tendering process, from opportunity identification to submission. The successful candidate will be responsible for preparing compelling technical and financial proposals that comply with client requirements and government regulations. This role involves coordinating with internal departments to gather necessary inputs, performing detailed cost analyses, ensuring documentation accuracy, and identifying strategic opportunities and risks. The Tender Specialist plays a key role in supporting business growth by securing competitive bids and maintaining a pipeline of relevant tender opportunities.
Duties and Responsibilities
- Manage bid clarifications by coordinating with internal teams to gather and submit adequate clarification points on time;
- Prepare technical and financial tender documents, ensuring timely submission of approved documents before set deadlines;
- Create compelling proposals that meet client requirements while differentiating the company from competitors;
- Identify all pre-qualification requirements and present them to management for review and approval;
- Perform detailed cost analysis based on target pricing, competitiveness, and value propositions;
- Monitor the preparation and submission of tender documents in accordance with government regulations and company guidelines;
- Ensure the formatting, completeness, consistency, and compliance of all tender submissions;
- Prepare tender review reports to confirm that methodology, pricing, and margin contingencies are adequately addressed;
- Build and lead tender teams, ensuring the smooth operation of the department;
- Maintain and update all relevant bid documentation, ensuring accuracy and completeness;
- Identify risks and opportunities in proposal pricing and provide strategies to mitigate risks at the tender stage;
- Maintain a strong pipeline of relevant tender opportunities and coordinate with relevant departments to decide which bids to pursue;
- Develop and maintain standardized templates that comply with the procurement requirements of major clients and government bodies;
- Perform other duties as assigned by the Human Resource Manager.
Requirements
Academic qualification
- Degree in Procurement, Purchasing or related fields
Additional qualifications
- Strong time-management and organizational skills;
- Self-motivated and ability to coordinate several tasks at the same time;
- Good understanding of the tender process and strong negotiation skills;
- Experience in working with contract administration;
- Ability to work under pressure, with deadlines and challenging targets
- Knowledge of procurement process and supply chain management.
Years of experience:
- 7+ years of experience in similar assignments is advantageous
