We are looking for a motivated, detail-oriented, and supportive Assistant Purchasing & Logistics Officer to provide administrative and operational assistance in purchasing and logistics activities, ensure accurate execution of routine tasks, and contribute to efficient procurement and supply processes. The Assistant Purchasing & Logistics Officer will support the team in purchasing administration, logistics coordination, documentation, and basic compliance checks, helping maintain smooth operations.
Duties and Responsibilities
- Assist in preparing purchasing documents, such as requests for quotations, quotation comparisons, purchase orders, and goods receipt notes;
- Support logistics tasks including arranging local transportation, tracking deliveries, preparing basic customs documents, and coordinating warehouse receipts;
- Update and maintain purchasing and inventory records, perform simple stock verification, and report on stock availability;
- Communicate with suppliers and service providers to follow up on orders, deliveries, and minor inquiries;
- Ensure proper documentation and filing of all purchasing and logistics records for easy access and audit compliance;
- Support adherence to procurement thresholds, ethical practices, and local supplier preferences as required by regulations;
- Monitor routine purchases and report any delays or issues to supervisors;
- Assist in compiling basic data for purchasing and logistics reports;
- Handle administrative duties such as data entry, photocopying, scanning, and correspondence related to purchasing and logistics;
- Provide support during tender processes, including document preparation and basic bid organization;
- Contribute to identifying minor efficiencies or improvements in daily purchasing and logistics workflows;
- Perform any other duties assigned by the Procurement & Logistics Supervisor or Manager.
Educational Qualifications:
- Bachelor’s Degree in Logistics and Supply Chain Management, Business Administration, Management, or related fields.
Skills & Competencies:
- Entry-level knowledge or exposure to purchasing, logistics, or administrative support roles;
- Proficiency in MS Office and readiness to learn basic procurement or inventory tools;
- Good organizational skills, accuracy, and ability to follow procedures;
- Effective communication and interpersonal skills for internal and external coordination;
- High level of integrity, reliability, and attention to detail;
- Enthusiasm for learning, teamwork, and performing support tasks efficiently;
- Basic problem-solving and multitasking capabilities.
Work Experience:
- 1 - 2 years of experience in shipping, receiving, or warehouse operations preferred.
