Job Summary:

The Import Export Coordinator is responsible for overseeing and managing the end-to-end logistics and documentation processes related to the import and export of goods, including ensuring compliance with international trade regulations, managing relationships with vendors and government authorities, and coordinating the timely movement of goods across borders. Additionally, the Import Export Coordinator will be responsible for preparing export documents, obtaining necessary licenses, managing tariff classifications, and troubleshooting any issues that arise during the shipping process.  

Duties and Responsibilities


  • Responsible for forecasting and ensuring safe, on-time shipments by effectively managing logistics provider capacity and volume;
  • Coordinate and manage activities related to contracts, export documentation, and communication with government authorities, shipping lines, and vendors;
  • Oversee the company’s import permit and export license processes to ensure compliance with regulations;
  • Work closely with forwarders and vendors to prepare accurate export documents and ensure compliance;
  • Categorize shipments using an accurate tariff coding system and ensure proper customs documentation;
  • Ensure all shipments adhere to customs rules and regulations for smooth border crossings;
  • Maintain accurate records of goods ordered and received within the purchasing system;
  • Provide guidance to clients on tariffs, insurance, quotas, and customs regulations;
  • Ensure consistent adherence to company policies and procedures across all logistics activities;
  • Facilitate shipments crossing international borders and ensure timely customs clearance;
  • Work closely with ERCA (Ethiopian Revenue and Customs Authority) and other authorities when goods arrive at the facility;
  • Review documents required for export to ensure goods can be legally and smoothly exported;
  • Provide backup for Compliance/Traffic/Procurement positions as needed, ensuring seamless operations;
  • Actively participate in and support day-to-day processes within the work area;
  • Keep senior management informed of any transaction problems or irregularities, ensuring issues are addressed promptly;
  • Communicate with shipping and forwarding agents to ensure smooth clearance and delivery;
  • Resolve any grievances or claims from vendors, contractors, or suppliers;
  • Perform additional tasks as assigned by the immediate supervisor.

Requirements

Academic qualification

  • Bachelor’s degree in Procurement, Logistics, or a related field; 

Additional qualifications and skill

  • Excellent interpersonal communication skills with the ability to multitask effectively;
  • A solid understanding of sales, marketing strategies, and customer-oriented service;
  • Ability to quickly understand and efficiently organize shipment processes;
  • Knowledge of international shipping regulations, tariffs, and customs compliance;
  • Proactive, detail-oriented, and well-organized with strong problem-solving skills.
