We are looking for a dynamic and highly organized Operations and Administration Officer who will play a critical role in strengthening our operational efficiency and ensuring smooth administrative coordination across the organization. This senior role requires a proactive professional with exceptional organizational skills, attention to detail, and the ability to manage multiple functions while supporting management in strategic and operational activities. The position involves overseeing administrative systems, improving operational processes, supporting project implementation, and ensuring compliance with company policies and regulatory requirements.
Duties and Responsibilities
- Oversee day-to-day operational activities and ensure timely execution of tasks and workflows;
- Support planning, implementation, and monitoring of operational activities to meet organizational goals;
- Coordinate internal and external communication related to operations and ensure accurate documentation;
- Provide operational support to project teams, departments, and management;
- Identify process gaps and recommend improvements to enhance overall efficiency;
- Lead and manage office administration functions including facilities, logistics, supplies, and asset management;
- Supervise administrative support staff and ensure high standards of service delivery;
- Manage travel arrangements, meeting coordination, event logistics, and vendor engagements;
- Maintain accurate and organized filing systems (digital and physical) for administrative and operational documents;
- Ensure procurement procedures are followed and maintain proper records of quotations, contracts, and vendor performance;
- Ensure adherence to organizational policies, operational procedures, and compliance requirements;
- Prepare periodic operational and administrative reports for management decision-making;
- Support audits, risk assessments, and follow-up actions related to operations and administration;
- Maintain confidentiality, professionalism, and integrity in handling organizational information.
- Liaise with external service providers, government offices, suppliers, and partners on operations-related matters;
- Communicate effectively across departments to ensure smooth workflow and alignment with organizational objectives.
Academic qualification
- Bachelor's Degree in Business Management, Management, and other business-related fields.
Required Skills
- Strong understanding of operational management, administrative procedures, and compliance requirements;
- Proven ability to manage multiple priorities and deliver high-quality outputs under pressure;
- Excellent communication, coordination, and interpersonal skills;
- Strong organizational and problem-solving abilities;
- Proficiency in MS Office Suite and experience with office management systems/software.
- Ability to manage tasks related to government offices, immigration, customs and the like.
Years of experience:
- Minimum 5+ years relevant experience, preferably in a senior administrative or operations role.
