We are hiring a Procurement Executive who will be responsible for managing the entire procurement process, from identifying needs and planning to sourcing, negotiating, and contract management. This role ensures that goods and services are acquired efficiently, cost-effectively, and in compliance with relevant regulations and organizational policies, while maintaining quality and timely delivery. Key duties include preparing procurement plans and tender documents, evaluating bids, managing supplier relationships, and ensuring adherence to all necessary procedures.
Duties and Responsibilities
- Prepare and manage procurement documents, including bids, quotations, RFPs, bid evaluation reports, and contract agreements;
- Ensure all procurement processes adhere to established policies, procedures, and bid evaluation criteria;
- Handle online tenders on the e-sourcing platform and support the tender opening and evaluation committees;
- Present procurement evaluation reports and recommendations to the endorsing committee for approval;
- Source reliable suppliers and negotiate the most cost-effective deals while maintaining quality standards;
- Establish and maintain positive, professional relationships with clients, vendors, and service providers;
- Monitor supplier performance, track contract deliverables, and address performance issues as needed;
- Review, compare, and analyze quotations and proposals to identify the most suitable suppliers;
- Coordinate with the delivery/logistics team to follow up on orders, ensuring timely delivery and resolving any delays;
- Inspect and verify procured goods upon delivery, reporting any damages, defects, or inconsistencies immediately;
- Conduct and review periodic inventory checks to ensure adequate stock levels;
- Initiate reorders for supplies and materials as necessary to maintain smooth operations;
- Inspect stock conditions regularly and ensure any faulty or expired items are handled appropriately;
- Ensure all procurement activities comply with internal standards, policies, and external regulatory guidelines;
- Identify process bottlenecks and recommend improvements for efficiency and transparency in procurement operations;
- Collaborate with internal departments to ensure procurement supports overall operational needs and customer satisfaction;
- Perform any other related duties assigned by the line manager to support departmental goals.
Requirements
Educational Qualification:
- Bachelor's degree in Logistics and Supply Chain Management or related fields
